Guidelines to Office Bearers

President

President is the Head of the Academy and the Council. He/She shall be impartial and shall observe very keenly the functioning of each executive and ordinary council member, and give directions if needed. Shall preside over the Council meetings and general body meetings. President can choose a project - say membership drive, journal expansion, service improvement etc. during his/ her tenure. President will keep one of the ACM seal and the seal of the President. President’s collar can be kept with the President or at the ACM office. President should respond promptly to any official communication from ACM members or sister organizations. President shall write the Academy News for the first issue of JACM every year.

Vice Presidents

There are two Vice Presidents. The first (Senior Vice President) is actually president elect and generally becomes President after three years . The second Vice President will become the Senior Vice President and election when needed is generally only for the second Vice President every three years.

The President Elect will preside over the meetings and perform President’s duties in the absence of the President and the second Vice President will do the duties of President in the absence of President and President Elect. Only those who have served the council as executive or ordinary council member shall become eligible for the post of Vice President.

Secretary

The general body and council meetings are organized by the Secretary in consultation with the President. The activities can be planned well in advance, so that every ACM member especially every council member will be tuned for the activities.

The council meetings should take place in February and August every year. Secretary should see that the request for items to be included in the agenda should be sent two months in advance (i.e. inDecember for February meeting and in May for August meeting). Theexact date, time, venue and agenda are notified one month in advance (i.e. in January and in June). Secretary shall note the email and telephone members of all council members, so that communications can be quicker in case of an extra ordinary or emergency meeting. Secretary shall record the minutes of general body and council meetings separately. Minutes of the Council Meeting is communicated to all Council members within two weeks after each meeting. The minutes of the previous general body meeting is read at the time of the Triennial meeting. The copies of the minutes of the Triennial meeting and August council meetings together with yearly audited statement should be sent to the Registrar, Registration Office, Trivandrum. Form FC3 in duplicate should be sent yearly to the Secretary, Ministry of Home Affairs, FCRA Division, Lok Nayak Bhavan, Khan Market, New Delhi - 110 003 within four months from 31st March every year. Secretary will write the Academy news for the No.2 issue of JACM and will keep Secretary’s seal and one ACM seal.

Joint Secretary

Joint Secretary helps the Secretary in organizing the activities and in sending communications. Joint Secretary will work as Secretary in his/her absence. Joint Secretary shall become Secretary after the term.

Treasurer

Shall make a budget for the coming three years and give suggestion to meet the expenditure for various activities. The Account for foreign contribution should be maintained separately, shall give the audited statement of the accounts to the President and Secretary each year by 30th April and help the Secretary in sending the form FC3 to the Ministry of Home Affairs, India.

Editor

Editor shall be responsible in expanding the Editorial Advisory Board, which should be done soon after taking charge of the office, shall invite articles from ACM members and even non members whenever needed. Editor should plan the Editorial work, should select topic for special article, frame proforma and send it to various centres during Dec-Jan period. The Ist issue of the Journal should be released in June on or before 30th& the second issue should be released in December on or before 31st every year. The 2nd issue will have the index to that volume.

Associate Editors

Shall help the Editor in editorial work, analysing the special article and if necessary send the data to an expert. The senior most shall become the Editor after the term.

Assistant Editor

Shall coordinate the activities of Editor and Associate Editors and help the Editor/Associate Editors in sending Journals to the members and subscribers.

Ordinary Council Members

Ordinary council members shall be willing to undertake any responsibility assigned by the President and shall take the initiative in the Zonal, Regional, National and International expansion of ACM.

All the executive and the ordinary council members shall try to attend the council meetings and General body meetings, send items to be included in the agenda so as to reach the secretary before 31st December and 30th June for February and August council meetings respectively. Inform the secretary, if any council member (Executive or ordinary) is unable to attend the meetings. If anyone fails to attend/ fails to communicate inability to attend three consecutive meetings, his/her name shall be removed from the Council and a new office bearer will be nominated by the President.

Only those who are willing and capable of executing the duties should be nominated to the various posts.
